How to Extract PDF Pages Without Uploading Your File

Extract selected PDF pages on Mac or Windows, keep the original, choose between extraction and printing, and verify the new file before sharing.

Guides & Tutorials / PDF workflows

To extract PDF pages without uploading the document, use Preview on a Mac or a desktop PDF editor with an Extract command. On Windows, printing selected pages to Microsoft Print to PDF is an alternative for a simple reading copy, but it is a different operation from extracting the original PDF pages. Save under a new name and reopen the result before sharing it.

The right method depends on what the recipient needs. A short reference handout, a fillable form, and a digitally signed agreement should not all go through the same shortcut. Start by deciding which pages belong in the output and which document features must continue working.

Choose extraction for document reuse, printing for a reading copy

Extraction selects existing pages for a new document. Printing builds output from the application’s print representation. That distinction matters when the file contains more than visible text and images.

Do not buy software solely because an ordinary report needs fewer pages. Try an appropriate built-in workflow first. Conversely, do not force a print workflow onto a document that must remain editable, navigable, or verifiable in a particular way.

Local operation, deliberate destination

These workflows do not require an online PDF splitter. Save to a folder appropriate for the document. If you choose a synchronized folder, consider its sharing and synchronization settings separately; using a desktop application does not establish where every saved copy will ultimately reside.

Identify the pages and preserve the source

Create a working copy and keep the original in its existing location. Give the output a specific name, such as “Project-A-appendix-excerpt.pdf,” rather than replacing “Project-A-full.pdf.” Keep the source filename and the requested page selection in a short note when another person will review the result.

Watch for the difference between a page’s position in the file and the number printed on it. Apple’s logical page numbering guidance explains how preliminary pages can make the displayed label differ from the actual position.

For a hypothetical report with four preliminary pages, the printed page labelled “1” might be the fifth page in the file. Do not assume that entering “1” into every application’s range box means the same page. Confirm the intended first and last pages in the preview or thumbnail selection.

  • Define the output: one combined excerpt or a separate PDF for each page.
  • Check context: include a table’s heading, relevant footnotes, and any continuation page needed to understand the selection.
  • Check authority: if the document restricts extraction or printing, obtain an authorized copy rather than trying to defeat the restriction.
  • Check special features: note forms, comments, bookmarks, attachments, accessibility requirements, and signatures before choosing the method.

For digitally signed material, preserve the signed original and treat the excerpt as a derivative. Adobe’s PDF saving guidance warns about signature invalidation when saving changes. A visible signature image in a new file is not sufficient evidence that the original signature remains valid.

Extract pages with Preview on a Mac

Apple documents creating a new PDF by dragging page thumbnails to the desktop in its Preview page-management guide. Use this approach to select pages rather than deleting unwanted pages from the original.

  1. Open your working PDF in Preview.
  2. Choose View → Thumbnails so the page sidebar is visible.
  3. Select the thumbnails for the pages you want. For pages that are not adjacent, Command-click the additional thumbnails.
  4. Drag the selected thumbnails out to the desktop to create a new PDF.
  5. Rename the new file, move it to the intended folder, and open it to check the selection and order.

Apple’s combining PDFs guide documents Command-click selection and warns that Preview saves document changes automatically. Duplicate the source before experimenting with deletion, insertion, or rearrangement.

For a hypothetical three-page briefing assembled from a longer document, first create the excerpt, then inspect the new file from beginning to end. If its sequence needs changing, rearrange the thumbnails in the new document and check again. Keep the original available for comparison throughout.

Save selected pages on Windows as a reading copy

For an ordinary static PDF, a practical Windows option is to open the local file in Microsoft Edge, choose a page range, and print to a PDF destination. Microsoft’s Edge printing guide documents Custom page ranges, individual page selections, and print scaling controls.

  1. Open the local PDF in Edge and press Ctrl+P.
  2. Select Microsoft Print to PDF as the printer when available.
  3. Under Pages, choose Custom and enter the required range or individual positions, for example 3-5, 8.
  4. Inspect the preview. Check the selected content, orientation, paper size, and scaling before continuing.
  5. Select Print, then save to a new filename in the intended folder.

Microsoft confirms that Microsoft Print to PDF is included with Windows 10 and Windows 11 and describes its output filename and folder dialog. If your managed computer does not offer it, use an approved installed PDF tool or ask the administrator.

Treat the result as a new print-derived document. Do not assume that interactive fields, navigation, accessibility structure, or signature validation survived merely because the pages look right. If those capabilities are requirements, choose a suitable extraction tool and verify them explicitly.

A Letter/A4 mismatch or an unsuitable scaling choice can also change the presentation. Avoid accepting the first successful save without looking at table edges, small labels, and the bottom of each page.

Use Acrobat’s desktop Extract tool when appropriate

If your installed Acrobat desktop edition exposes the tool, open All tools → Organize pages, select the pages, and choose Extract pages. Adobe’s desktop extraction instructions describe two important options:

  • Delete pages after extracting: leave unchecked to retain the pages in the source.
  • Extract pages as separate files: leave unchecked for one combined excerpt; enable only when individual files are intended.

Complete extraction and save the new document under a distinct name. Adobe says extraction includes page content, form fields, comments, and links, while associated bookmarks and article threads are excluded. It also recommends checking Document Properties → Security for restrictions.

Verify the actual functions your recipient needs even when the tool documents preservation. A link that points to a page outside the excerpt may no longer be useful in the new context. Do not assume that free Reader or an online tool has the same capabilities as the desktop workflow described here; check the installed edition before making a purchase.

Verify the new PDF before sending it

Reopen the saved file from its destination folder, rather than relying on a preview still showing the original. For a hypothetical selection of positions 3–5 and 8, expect four pages. Check content as well as count: four incorrect pages still pass a count-only test.

If a scanned source has no searchable text, selecting fewer pages is not itself a text-recognition task. Keep that requirement separate from extraction and verify any later OCR result against the visible document.

Page selection also does not remove sensitive text within a retained page. If that is the real requirement, follow our guide to properly redacting a PDF before distributing the reviewed copy.

Resolve the problem without losing the original

The output contains the wrong pages

Compare page labels with file positions and inspect the selection again. Write down a distinctive heading on the first and last intended pages so the second attempt can be checked independently of numbering.

The source appears to have changed

Stop editing and compare it with the preserved original. Avoid continuing a deletion-based workflow when the goal was simply to create an excerpt. In Preview, take the automatic-save behavior into account before making further changes.

Comments or completed fields are missing

Check whether the workflow was extraction or printing. Adobe’s form-printing documentation shows that print choices can include or omit different combinations of form data, comments, and stamps. Inspect the resulting file instead of assuming every visible element was included.

Printing fails on a complex document

Adobe documents Microsoft Print to PDF difficulties in Acrobat with some complex files. Do not generalize that to every application or keep overwriting an existing output while retrying. Preserve the source and use an approved alternative that supports the document’s requirements.

Frequently asked questions

Can I extract pages without an online service?

Yes. Preview and suitable desktop PDF editors provide local page workflows. For simple reading copies, selected-page printing is another option. Choose the destination folder deliberately.

Is printing to PDF the same as extracting pages?

No. Printing creates output from a print representation. Extraction works with selected PDF pages. Judge the method by the features that must work in the final document.

Will extraction make the original smaller?

Not if you retain the original pages. The intended result here is a separate excerpt, with the full original preserved. File-size reduction is a different task.

Can I send an excerpt instead of a signed original?

Ask the recipient whether a derivative is acceptable. Keep the signed original and its validation workflow intact; do not present a new excerpt as the untouched original.
