How to Export Google Contacts and Check Your Backup

Export Google Contacts, choose Google CSV, Outlook CSV, or vCard, and check contact scope, phone numbers, field mapping, and your destination before cleanup.

Guides & Tutorials / Google Contacts / Data backup

To export Google Contacts for a backup, open Google Contacts on a computer, select the contacts you want, choose Export, and save a Google CSV file. Keep that original unchanged, then check representative records and, when appropriate, a small import into your intended destination.

A downloaded file is only the start. You need to know which account and contacts it contains, whether important details survived, and how you would use it later. This guide takes you through those checks without deleting or replacing your existing address book.

Backup or migration?

A backup preserves a dated copy for later use. A migration transfers records into another service. For a migration, keep a source backup as well as the destination-specific export, and leave the source intact until you have verified the result.

01 / Confirm the account and export scope

Go to Google Contacts and check the signed-in email address. If you maintain personal, work, and school accounts, repeat the review for each account you intend to preserve.

Compare the web list with a few people you expect to find. Search for someone added recently and someone whose details you edited. If a contact exists only on your phone, investigate its storage location before assuming the web export includes it.

Google’s device and SIM contact guidance explains that some phone contacts are stored locally rather than as Google contacts. Those records do not automatically appear across Google services. Decide whether to save them as Google contacts or preserve them through a separate supported export.

Do not change the storage location of an entire address book simply to resolve one missing entry. First establish where the missing records live and which account should own them.

For an organizational account, distinguish your saved contacts from the company Directory. Google notes that work or school users cannot select all Directory contacts through the ordinary export procedure. Ask your administrator about an approved organizational export when that is what you need.

02 / Choose the format for the destination

A file extension does not tell you that every importer will interpret every field identically. Choose the format supported by the system that will read the file, then verify the result.

FormatUseful starting pointCheck afterward
Google CSVA Google Contacts backup or transfer to another Google account.Contact selection and important details.
Outlook CSVA file-based move into an Outlook workflow that accepts CSV.Column mapping, encoding, and duplicate handling.
vCard (.vcf)A destination that supports contact cards, including Apple Contacts or iCloud Contacts.Multiple values, notes, and how cards are added.

Microsoft documents Google CSV, Outlook CSV, and vCard export choices. Keep separate filenames if you export more than one format. Renaming a .csv extension to .vcf does not convert the data.

Apple’s iCloud Contacts guidance supports importing vCards. A file containing several people creates separate contact entries. This makes vCard a suitable starting point for that route, but it is still worth checking a representative sample.

For a business migration, write down the exact destination: “Outlook on the web” is more useful than “Microsoft.” Desktop editions and web services can present different import controls.

03 / Export and preserve an unchanged original

Follow Google’s computer export instructions:

  1. Select one contact, several contacts, or the full intended list. For all contacts, select a contact, then use the selection menu and choose All.
  2. Open More actions, then Export. An Export control may also appear in the current interface.
  3. For a Google Contacts backup, choose Google CSV.
  4. Choose Export and save the downloaded file.

Give the saved copy a descriptive name, such as personal-contacts-2026-10-26-google.csv. This is an example naming convention, not a required Google filename.

Create a separate working copy before inspecting or transforming the data. Keep the original in a folder where an accidental spreadsheet save will not replace it. If you later discover that you selected only a subset, repeat the export under a new name and document which copy is complete.

Do not delete contacts merely because the download finished. Verification and any later cleanup should be separate decisions.

04 / Check records, characters, and field placement

Start with a small set of contacts that exercise the details you actually use. A basic name-and-email record is not enough to test an address book containing multiple numbers, companies, addresses, or notes.

Sample to inspectCompare with the sourceWhat to record
Person with two phone numbersBoth values and their meanings, such as work versus mobile.Missing or swapped values.
Name with accented or non-English charactersExact spelling and readable characters.Any encoding damage.
Contact with a postal addressStreet, locality, postal code, and country.Fields combined or misplaced.
Organization contactCompany and job details you rely on.Information that moved elsewhere.
Record with notes or several email addressesAll required content, not only the first email.Omissions needing another export or mapping.

Hypothetical example: your sample includes a colleague named Zoë with a work number and a mobile number. The destination shows her name correctly but only one phone number. That is a partial success, and you should resolve the missing value before treating the migration as complete.

Inspect a copy of a CSV using a suitable text viewer or a controlled spreadsheet import. If you use Excel, our guide to importing CSV without losing leading zeros explains how to preserve identifiers as text. Do not overwrite the original after casually opening it.

Compare contact records rather than raw text-file lines: a field can contain a line break. Treat counts as one check alongside field comparisons. Matching totals cannot prove that every number or address landed correctly.

05 / Test the destination before moving the full list

A test import changes the receiving address book. Use a permitted test account or another isolated destination you control, and choose a small, separately exported sample. Avoid uploading business contacts to an unrelated service just to inspect them.

Importing into Google Contacts

Google’s import guidance accepts CSV and vCard. Open Import, choose Select file, select the export, and import it into the intended account. Check the account identity immediately before confirming.

For CSV transformations, preserve the expected header row. Google provides a template and field descriptions; use them instead of inventing column names. If an imported detail seems missing, Google recommends checking the contact’s notes.

The documented limit is 3,000 contacts per import; split larger CSV collections into batches. Google also lists an overall 25,000-contact limit. Check current limits before a large transfer.

Importing into Outlook or Apple Contacts

Microsoft recommends UTF-8 CSV for Outlook imports. In Outlook on the web, use People, then Manage contacts → Import contacts. If a preview displays names incorrectly, cancel and fix the encoding in a working copy before continuing.

On a Mac, Contacts supports File → Import for a vCard. Apple also supports CSV with field-label review and flags potential duplicates during import. Confirm the receiving account or list and review the imported cards before importing everything.

Record the sample result: destination, date, number of contacts tested, fields compared, and any exceptions. Do not describe an untested field as preserved.

06 / Keep cleanup separate from recovery

Repeatedly importing the same full file makes it harder to understand what changed. If a test fails, investigate the sample and destination behavior before rerunning the entire migration.

Google’s Merge & fix tool can suggest duplicates within an account; it cannot merge records saved in different Google accounts. Review suggestions individually when two people might share a name or a company number.

For recovery after an unwanted change, Google documents Undo changes for the past 30 days. This restores the address book to an earlier state, rather than reversing only one chosen edit. Contacts added after that point will no longer appear, so preserve current records before considering a rollback.

A dated export and an account-wide undo serve different purposes. Keep the export even when a recovery feature is available; do not use rollback as a routine way to clean up experiments in your main account.

07 / Store the file with a short recovery note

Save your backup where you can retrieve it independently of the device you are replacing. Use storage with appropriate access controls, because an address book can contain other people’s personal and business information.

  • Record the source account and whether the export is complete or a subset.
  • Record the export date and file format.
  • Keep the unchanged source and any converted working files distinguishable.
  • Note which destination and sample fields you checked.
  • List unresolved omissions and where those records are stored.

Refresh the export after a significant contact cleanup or before a migration. Retain an earlier copy until the newer one has passed your checks. Choose a retention routine that keeps useful recovery points without scattering unnecessary copies.

Frequently asked questions

Which format should I use to back up Google Contacts?

Google recommends Google CSV for a backup. For a move to another service, also keep an export in the destination’s supported format and check the imported records.

Does the export include every contact shown on my phone?

Check the account and storage location. Device-only contacts, SIM contacts, and contacts held in another account may require separate handling before they appear in your intended Google export.

Can I use the same file for Outlook and iCloud?

Use each destination’s supported import route. Outlook supports CSV workflows, while iCloud Contacts imports vCards. Keeping separate exports avoids an unnecessary conversion step.

Is checking the contact count enough?

No. Also compare multiple phone numbers, email addresses, names, postal addresses, and other fields you need. A matching count can still conceal missing or misplaced information.

Your next action

Export the intended Google account, preserve the original, and compare a handful of complex contacts. If you are migrating, verify those same records in the destination before making any source-side cleanup.
